Membership Management

In the real world there is a fine line between Membership Management and Marketing. For many organizations the two go hand-in-hand. Membership driven organizations make most of their income by serving members and meeting member needs. So.. it is essential to manage membership drives, membership contacts and membership needs effectively. 1st Contact has a high percentage of Membership and/or Non-profit organizations for clients. So... Michelle has years of experience in the following database requirements:

  • Membership Lists - with Renewal Dates
    • Active Membership
    • Inactive Membership
    • Member Prospects
  • Membership Events
    • Registration
    • Event Charges and Payments
    • Facility Use

Sales and Marketing

Michelle Meyer worked in business-to-business marketing before learning how to build and manage databases. In fact, it was the need for an effective marketing database that motivated Ms. Meyer to learn computer programming.

Efficient data management enables marketing professionals to use limited time and financial resources productively. The ability to target marketing efforts should be a "given" in any marketing database. But all too often marketing databases are simply designed to collect the information and little else. An exceptional marketing database allows users to pull contact information according to the needs of specific and targeted marketing campaigns.

In addition, an exceptional marketing database allows users to compare results of different marketing campaigns, analyze trends and plan future budgets. Following are some of the specific capabilities Ms. Meyer has developed for dozens of marketing databases over the last 20 years:

  • Marketing Lists
    • Email Lists
    • Snail Mail Lists
    • Phone Lists
  • Contact Tracking
    • Prospects
    • Customers/Clients
    • Industry Contacts
  • Sales Activity
  • Market Trending and Analysis
  • Date Driven Marketing
    • Expiration Dates
    • Renewal Dates
    • Licensure Dates, etc...
  • Event Driven Marketing; and Registration for Events
    • Eduction Events
    • Conferences
    • Industry Shows, etc...
  • Integrating all of the above classical database capabilities with a client's website.

Financial data is often treated as a separate class of data and segregated into a specialized financial software. The problem with this approach becomes apparent when end-users find themselves doing the double-entry needed to manage multiple databases. Since sales produce income and employees produce payroll (just two examples), end-users are often managing customer data in both the sales database and the financial database, or they are managing employee data in both a human resource database and a financial database. It is entirely possible to integrate the varying databases into a core "critical mission" database which manages all these functions in one place. Michelle Meyer has considerable experience working with financial databases:

  • Accounts Receivable
  • Accounts Payable
  • Payroll
  • Grant Funding
  • Fundraising
  • Financial Reporting
    • Yearly
    • Quarterly
    • Monthly
  • Budget Projections
  • Financial Trending and Analysis
  • Integrating all of the above classical database capabilities with a client's website.

Human Resources, Staffing and Scheduling

One of the database projects Michelle Meyer is most proud of is the human resource, staffing and scheduling database she built (and maintains) for City of Madison, WI Fire Department. City of Madison Fire Department (MFD) has over 300 employees, scheduled across 3 different shifts and 12 stations (with multiple rigs). Michelle started working with MFD over 15 years ago. The staffing and scheduling portions of the MFD database cover the following areas:

  1. Staffing across 3 shifts of personnel
    • Each Firefighter-EMT is assigned to one of 3 shifts. These assignments are reviewed and revised once a year, depending on retirements, transfer requests and other criteria.
  2. Scheduling all 12 stations. The daily schedule must acommodate:
    • Each station has 2 or 3 rigs that must be scheduled on a daily basis
    • FLSA Rules must be adhered to.
    • Minimum Staffing Levels have to be maintained for Offiers, Paramedics, Firefighters, SCUBA, Tech, Hazmat and other specialized teams.
    • Sick Leaves
    • Vacations
    • Work Backs
    • Contract Requirements
  3. Training Division Schedule
    • Every field/station employee must maintain certification in areas such as firefighting, EMT, Paramedics, SCUBA, Tech, Hazmat and other specialties. If an employee's certifications lapse in any area, they must be pulled off their regular duties until certifications are up to standard. One important function the MFD database fulfills is cross-referencing the station schedule with the training center schedule. If an employee is due for required training, and scheduled to work the day of training, the employee and his/her supervisor is notified. This one feature allows MFD to maintain licensure for all affected employees.
    • Daily Training Schedule
    • National and State Certification requirements
    • Integration with Web based training for MFD Employees
  4. Recruit Class Training and Scheduling
  5. Command Staff and Administration Scheduling
